An AI appointment setter that keeps your calendar full

Books, confirms and rebooks appointments — and cuts no-shows. Handles the whole appointment lifecycle by phone: books new ones, calls to confirm the day before, rebooks cancellations and fills gaps from the waitlist.

What it does

What an AI appointment setter handles for you

The appointment setter template ships with these goals. You measure it by one number: show rate.

goal · book

Book the right slot for the right service

Books, confirms and rebooks appointments — and cuts no-shows.

goal · confirm

Confirm upcoming appointments and rebook cancellations

Part of the template — change it, add to it or remove it.

Show rate

Every call ends with a logged outcome, so the metric is counted, not guessed.

Who puts an AI appointment setter on the phone

  • Clinics, salons and studios where a no-show is lost revenue
  • Service businesses that confirm tomorrow’s bookings by hand today
  • Teams with a waitlist and nobody free to work it

Direction

Answers incoming calls and places outgoing ones on the same agent.

A sample call

Hear how it sounds on a real line

The disclosure comes first, then the greeting you write. Between turns the agent calls its tools — you see each one in the call log.

After the call

  • New, moved and cancelled appointments land in your calendar as they happen.
  • An SMS with the time and details after every booking or change.
  • Show rate as the metric — the number this role exists to move.

The template

Starts configured. Stays editable.

A greeting, the built-in tools this role needs, and room for your own systems through MCP tools.

Greeting

“Hi, this is Alex, an AI assistant for [Your company].” Hi, this is Alex from [Your company], calling about your appointment.

The disclosure is always first and added by the runtime; the rest is yours to write. Default greetings ship in English, German, French, Italian and Spanish.

Outbound rules

It only calls people it is allowed to call

Before every dial the runtime checks consent, do-not-call lists and the recipient’s local calling hours. Outside the window, the call is scheduled for the next open slot — never dialled.

  • AI disclosure, first sentence. Every call — inbound and outbound — opens by saying it is an AI assistant for your company. Enforced by the runtime (EU AI Act Art. 50, from 2 Aug 2026).
  • Opt-out the same turn. “Stop calling me” writes the number to suppression before the call ends, and the agent confirms it.
  • Calling hours per country and state. Outside the recipient’s window, a call is scheduled for the next open slot — never dialled.
  • Consent ledger. Consent, opt-outs and list hits are stored as append-only evidence: source, basis and time.

Full per-country rules on the AI calling compliance page and in our security and data residency notes.

FAQ

Appointment setter questions

Does the AI appointment setter say it is an AI?
Yes — the first sentence of every call discloses it, added by the runtime so no script can remove it.
Is the appointment setter inbound or outbound?
Both. It answers booking calls and it calls out — to confirm the day before, rebook cancellations and offer freed-up slots to people on your waitlist.
How does it reduce no-shows?
By calling to confirm the day before and rebooking cancellations straight away, so a missed slot becomes a filled one. Track it on the show rate.
Which calendars can it book into?
The built-in calendar on every plan, including Free. Google and Microsoft calendar sync is included from the Starter plan.
Can I change the goals and the greeting?
Everything in the template is editable: goals, greeting, persona, voice, hours, tools and transfers.
How much does an AI appointment setter cost?
One all-in rate per connected minute, from $0.19 on Free down to $0.13 on Scale — speech-to-text, the model, the voice and standard termination included. Ringing and unanswered calls are free, and browser test calls cost nothing.
